Booking Terms and Conditions

1. About these terms

These terms apply to every booking for a retreat operated by The Padel Retreat, the trading name of Padel in Paradise FZC, a free zone company registered in Sharjah Publishing City Free Zone, United Arab Emirates, licence number 4204179.01 (“we”, “us”, “our”). Retreats in Indonesia are delivered with our Indonesian partner company, PT The Padel Retreat Global.

Please read these terms before you book. By paying a deposit or the full price, you confirm that you have read them, that you accept them, and that you have authority to accept them on behalf of everyone named on your booking.

2. Your contract with us

A booking is confirmed, and a contract between us comes into existence, when we have received your deposit or full payment and have sent you a written booking confirmation. Until you receive that confirmation, your place is not held.

The person who makes the booking is responsible for the full cost of it, for passing our communications to everyone else in the party, and for making sure the information given to us about each guest is accurate.

3. Prices

Prices are shown per person and depend on the room category you choose and whether you are sharing or staying alone. The price confirmed in your booking confirmation is the price you pay, and we will not increase it after your booking is confirmed.

Where a retreat is listed in more than one currency, or sold through a partner platform, the price shown in your booking confirmation governs.

4. What is included

Unless your booking confirmation says otherwise, the price includes:

  • accommodation for the nights stated, in the room category you have booked;
  • the full padel programme for the retreat — court hire and professional coaching as described on the retreat page;
  • the activities, meals, welcome kit, spa treatment and other inclusions listed on the retreat page for that destination;
  • airport transfers on the published arrival and departure days; and
  • an on-site host for the duration of the retreat.

5. What is not included

  • International and domestic flights.
  • Travel insurance, which is compulsory — see section 12.
  • Visas, entry permits, tourist taxes and any fee charged on arrival at the destination.
  • Meals, drinks and excursions that are not listed as included.
  • Spa, laundry, minibar and other items charged to your room.
  • Padel equipment, unless stated otherwise for that retreat.
  • Anything of a personal nature, and gratuities.

6. Paying for your retreat

You may pay in either of the following ways, as agreed when you book:

  • in full at the time of booking; or
  • a deposit of 50% of the total price at the time of booking, with the balance due no later than 60 days before the retreat start date.

Deposits are refunded only as set out in our Cancellation & Refund Policy and in section 10 below. If the balance is not received by the due date we may treat the booking as cancelled by you and apply section 7. Bookings made within 60 days of the start date must be paid in full at the time of booking.

Payments are taken by card through Stripe, or by bank transfer to our account in the United Arab Emirates. Bank charges on a transfer are your responsibility.

7. If you cancel

Cancellations must be made in writing to info@thepadelretreat.com. The date we receive your written notice is the date we use.

Our cancellation and refund terms are set out in full in our Cancellation & Refund Policy, published at thepadelretreat.com/cancellation-refund-policy, which forms part of these terms. That policy sets out what is refunded according to how far before the start date you cancel, and the version published at the time you book is the version that applies to your booking.

Where possible, we may instead offer you the option of transferring your booking to another The Padel Retreat date or destination. Transfers depend on availability, you pay any difference in package price and any costs we incur, and we cannot guarantee that a transfer will be possible.

If you cut your retreat short, miss part of it, or arrive late for any reason, we cannot refund the unused part.

8. If you want to change your booking

Tell us as early as you can and we will do what we can. Changing your room category, your dates or the name on a booking depends on availability and on what our hotel and suppliers allow. You pay any price difference and any charge our suppliers pass on to us. A change of date requested less than 30 days before the start is treated as a cancellation under section 7.

9. If we change your retreat

We plan every retreat well in advance, but occasionally something has to change. We may make minor changes — for example to the daily schedule, the excursion programme, a coach, or the order of activities — without notifying you in advance, provided the retreat as a whole is not materially affected.

If we have to make a significant change — a change of hotel to one of a different standard, a change of destination, or a change to the dates — we will tell you as soon as we can and you may choose to accept the change, transfer to another retreat (paying or receiving the price difference), or cancel and receive a full refund of everything you have paid us.

10. If we cancel the retreat

Each retreat needs a minimum of 6 guests to run. We confirm every retreat as going ahead no later than 60 days before the start date, and after that point we will not cancel a retreat for numbers. We recommend you do not book flights or other travel arrangements until you have received that confirmation from us. If we do not reach that minimum, or if we cancel for any other reason within our control, we will tell you as soon as possible and refund 100% of all amounts you have paid us, including payment processing fees. You may instead choose to move your booking to another date or destination.

Our liability in that situation is limited to that refund. We are not responsible for flights, visas, vaccinations, insurance or any other cost you have incurred, which is why section 12 matters.

11. Bookings made through partner platforms and agents

Some of our retreats can be booked through partner platforms and agents, including Playtomic. If you booked that way, these terms still govern your retreat, and our cancellation policy in section 7 is the policy that applies to your booking. The partner may have its own booking, payment and service terms covering the transaction itself, and you should read those as well. Where a payment was taken by the partner, any refund due to you will be processed back through that partner.

12. Travel insurance

Comprehensive travel insurance is a condition of booking. Your policy must cover, as a minimum, cancellation and curtailment, medical expenses and repatriation, and sports participation including padel. We may ask for your insurer and policy number before you travel.

If you travel without adequate insurance, you do so at your own risk, and we are not responsible for any loss you suffer that insurance would have covered.

13. Passports, visas and health requirements

You are responsible for holding a valid passport with sufficient remaining validity, for obtaining any visa or entry permit required for your destination, and for meeting any vaccination or health requirement in force. Requirements differ by nationality and change without much notice. We are happy to point you to the right source of information, but we cannot advise you on your personal position, and we cannot refund a booking if you are refused entry or cannot travel.

14. Fitness, health and taking part

Our retreats are active. They involve padel on several days, and often yoga, hiking, water activities and excursions. You should be in good general health and able to take part safely.

You must tell us before you travel about any medical condition, injury, allergy or dietary requirement that could affect your participation or the arrangements we make. We treat that information confidentially, as set out in our Privacy Policy, and we share it only with the people who need it to keep you safe.

You take part in all sporting and other activities at your own risk, and you are responsible for judging your own fitness to do so. Our coaches and hosts may ask you to stop or modify an activity if they reasonably believe it is unsafe for you or for others.

15. Behaviour

Our retreats are small-group trips and everyone’s experience depends on the group. We expect guests to behave considerately towards other guests, our team, our suppliers and the local community, and to respect local law and custom at the destination.

If your behaviour is causing, or is likely to cause, danger, distress or serious damage, we may end your retreat. If we do, your booking is treated as cancelled by you with no refund, and we are not responsible for any cost of getting you home. You are responsible for any damage you cause to accommodation or equipment.

16. Our responsibility to you

We take reasonable care in choosing the hotels, coaches, transfer companies and activity providers we work with, and in delivering the parts of the retreat we deliver ourselves.

We are not responsible for failures or losses that are caused by you, by someone unconnected with the arrangements and unforeseeable, or by an event described in section 17. We are not responsible for any service you arrange directly for yourself, including flights and any activity or excursion you book independently at the destination.

Except in the case of death or personal injury caused by our negligence, or any liability which cannot be limited by law, our total liability to you is limited to the amount you paid us for your booking.

17. Events outside our control

We are not liable for any failure to deliver a retreat, or part of one, that results from an event beyond our reasonable control. That includes natural disaster, volcanic activity, extreme weather, epidemic or pandemic, war, civil unrest, terrorism, strike, border closure, government action, and the failure of public utilities or transport. If such an event affects your retreat we will work with our suppliers to recover what we can for you, and we will pass on to you any refund we are able to obtain.

18. If something goes wrong

If you are unhappy with anything during your retreat, please tell your host immediately so we have the chance to put it right while you are still with us. If the matter is not resolved, write to us at info@thepadelretreat.com within 28 days of the retreat ending, giving your booking reference and the details. We will acknowledge your complaint within 7 days and respond fully within 28 days.

19. Governing law

These terms and any dispute arising from them are governed by the laws of the United Arab Emirates, and the courts of Sharjah have jurisdiction. If you are a consumer resident in the United Kingdom or the European Economic Area, this does not take away any right you have to bring proceedings in your own country under local consumer law.

20. Privacy

We handle your personal information in accordance with our Privacy Policy, published at thepadelretreat.com/privacy-policy, which forms part of these terms.
