Privacy Policy

This policy explains what personal information we collect when you enquire about or travel on one of our retreats, why we collect it, who we share it with, and the choices you have.

1. Who we are

The Padel Retreat is the trading name of Padel in Paradise FZC, a free zone company registered in Sharjah Publishing City Free Zone, United Arab Emirates, licence number 4204179.01. In this policy, β€œwe”, β€œus” and β€œour” mean Padel in Paradise FZC.

We organise padel retreats at destinations including Bali (Ubud and Uluwatu), Mykonos, the Maldives and Cape Town. Our retreats in Indonesia are delivered with our Indonesian partner company, PT The Padel Retreat Global.

We are the controller of the personal information described below. If you have any questions, or want to exercise any of the rights in section 8, email info@thepadelretreat.com.

2. What this policy covers

This policy applies when you:

  • visit thepadelretreat.com or contact us by email, WhatsApp or social media;
  • enquire about or book a retreat with us directly;
  • book one of our retreats through a partner platform or agent, such as Playtomic or a padel club;
  • attend one of our retreats; or
  • subscribe to our updates.

3. The information we collect

3.1 Information you give us

  • Identity and contact details β€” your name, email address, phone number, country of residence and nationality.
  • Booking details β€” the retreat and dates you have chosen, your room category and who you are sharing with, arrival and departure flight details, and any transfer requirements.
  • Travel documents β€” passport details and date of birth, where the hotel, the destination or immigration rules require them.
  • Emergency contact β€” the name and contact details of a person we should reach in an emergency.
  • Padel information β€” your playing level and experience, so we can group you with players of a similar standard.
  • Preferences and requirements β€” dietary requirements, allergies, accessibility needs, and any medical condition or injury you choose to tell us about so we can run the retreat safely.
  • Travel insurance details β€” your insurer and policy number.
  • Correspondence β€” anything you write to us by email, WhatsApp, the enquiry form or social media.

3.2 Information we collect automatically

Technical and usage information when you visit our website β€” IP address, device and browser type, pages viewed and how you arrived β€” collected through cookies and similar technologies. See section 9.

3.3 Information we receive from others

  • From partner platforms and agents β€” when you book through Playtomic, a travel agent or a padel club, that partner passes us the booking and the contact details you gave them. What they collect from you, and how they use it, is governed by their own privacy policy, not this one.
  • From our payment provider β€” confirmation that a payment has succeeded or failed, together with limited card information such as the last four digits and the card type.
  • From people booking on your behalf β€” if someone books for you, they will give us your details. If you make a booking for other people, you confirm that you have their permission to give us their information and that you have shown them this policy.

3.4 Photography and video at retreats

Professional photography is part of our retreats, and we take photographs and video during the week. We use these images in our marketing β€” our website, social media, brochures and partner listings. We will tell you at the start of each retreat who the photographer is, and you can ask us at any time not to be photographed, or ask us to remove an image of you that has already been published. Tell the host on site or email info@thepadelretreat.com and we will act on it.

3.5 Payment information

We do not collect or store your full card number. Payments are processed by Stripe, which handles your card details directly under its own security standards and privacy policy. Where you book through a partner platform, that platform may process the payment instead, and its terms will apply to that transaction.

4. Why we use your information

  • To take and manage your booking β€” confirming your place, taking payment, sending joining instructions, answering questions, and handling any change, transfer or cancellation. Without this information we cannot provide the retreat.
  • To run the retreat β€” booking your room, arranging airport transfers, planning coaching groups around playing levels, arranging meals around dietary requirements, and making sure our host and coaches can keep you safe on and off court.
  • To look after you in an emergency β€” contacting your emergency contact, your insurer, or a medical provider.
  • To keep records and meet our legal obligations β€” accounting, tax, licensing and lawful requests from authorities.
  • To market our retreats β€” news about upcoming retreats and new destinations, and retreat photography used to promote the business, where you have agreed or we are otherwise permitted.
  • To improve what we do β€” understanding how our website is used, and reviewing feedback.

5. Our legal basis

Where the UK or EU General Data Protection Regulation applies to you β€” broadly, if you are in the United Kingdom or the European Economic Area when you deal with us β€” we rely on:

  • Performance of a contract β€” to take and deliver your booking.
  • Legitimate interests β€” to run and improve our business, market our retreats to existing guests, and keep our records. You can object at any time.
  • Legal obligation β€” where we must keep records or disclose information by law.
  • Consent β€” for marketing emails to people who have not booked with us, for non-essential cookies, and for the health and dietary information below. You can withdraw consent at any time.
  • Vital interests β€” in a medical emergency, where we cannot reasonably ask you first.

Information about your health, allergies, injuries or dietary requirements is treated as a special category of personal data. We use it only to run the retreat safely and collect it only where you choose to give it to us. By providing it you consent to us using it for that purpose and sharing it with the hotel, caterer, coach or medical provider who needs it.

6. Who we share it with

We share your information only with those who need it, and only for the purposes above. We never sell it.

  • Hotels, villas and resorts at the destination, to make and hold your room reservation.
  • Coaches, hosts, padel clubs and court operators who deliver the retreat programme.
  • Transfer companies, drivers and excursion providers arranged as part of your retreat.
  • Our Indonesian operating company, PT The Padel Retreat Global, for retreats in Bali.
  • Stripe, our payment processor.
  • Partner platforms and agents, including Playtomic, where your booking came through them β€” limited to what is needed to confirm and administer that booking.
  • Our professional advisers: accountants, insurers and lawyers.
  • Website, email and booking software providers who host our systems on our instructions.
  • Authorities and regulators, where we are legally required to disclose information.

We require everyone who handles your information on our behalf to protect it and use it only for the purpose we have given it to them.

7. Sending information abroad

We are based in the United Arab Emirates and our retreats run in Indonesia, Greece, the Maldives and South Africa. Delivering your retreat therefore means sending your information to the country you are travelling to, and to our suppliers there. Those countries may not give personal information the same legal protection as your home country.

Where we transfer information out of the United Kingdom or the European Economic Area, we do so because the transfer is necessary to perform your booking contract, or under contractual safeguards with the recipient. You can ask us for more detail at info@thepadelretreat.com.

8. How long we keep it, and your rights

We keep enquiries that do not become bookings for up to 24 months. Booking and guest records are kept for 7 years after your retreat, to meet accounting, tax and insurance requirements. Passport details, emergency contacts and any health or dietary information are deleted within 6 months of the retreat ending, unless needed for an ongoing claim. Marketing contacts are kept until you unsubscribe. Retreat photography is kept for as long as we use it in our marketing, and removed on request.

You can ask us at any time to:

  • give you a copy of the personal information we hold about you;
  • correct anything that is wrong or incomplete;
  • delete your information, where we no longer need it;
  • stop or limit how we use it;
  • send your information to another provider in a portable format;
  • stop sending you marketing β€” you can also unsubscribe from any email we send; or
  • withdraw a consent you have given us, including consent to use your photograph.

Email info@thepadelretreat.com and we will respond within 30 days. There is no charge. We may ask you to confirm your identity first.

If you are in the United Kingdom or the European Economic Area and are not satisfied with how we have handled your information, you have the right to complain to your national data protection authority. We would appreciate the chance to put things right first.

9. Cookies

Our website uses cookies and similar technologies. Some are necessary to make the site work and keep it secure. Others help us understand how the site is used, or allow us to show you our retreats on other platforms. You can control or delete cookies through your browser settings at any time; blocking some cookies may affect how parts of the site work.

10. Keeping your information secure

We use reputable, access-controlled systems to hold booking information, limit access to the people who need it, and do not store card details ourselves. No system is completely secure, but we take reasonable steps to protect your information and will tell you and the relevant authority if a breach occurs that is likely to affect you.

11. Children

Our retreats are sold to adults. We do not knowingly collect information from anyone under 18 except where a parent or guardian provides it as part of a family booking we have agreed to.

12. Changes to this policy

We may update this policy from time to time. The version published here is always the current one, and the date at the top tells you when it last changed. If we make a significant change we will tell guests with a live booking by email.
